PULLTAB SOFTWARE: The more automated your software the better you are. You will have less entry errors and the integrity of your gambling operation will be greatly enhanced, if you look for the following features in your pulltab software.
1. Each seller and manager should have their own unique passcode. The system should track each person who logged on to the system with a time and date record of each transaction performed.
2. The system should allow for multiple security levels. This is important so that you only allow Sellers to view the data you want them to see. As an added level of security for the Sellers, the managers can not sell tickets, or redeem prizes while logged in as a manager. This will not allow the manager to manipulate the games that are in play.
3. The system should have the capability to post games by some kind of electronic media such as a diskette, flash drive, CD or E-mail file. The software should all so have the capability to easily manually enter games if a distributor can not provide you with some kind of electronic means.
4. The system MUST have the capability to function with multiple cash drawers. Because in most states gambling is a cash business each seller must have their own cash drawer. If you allow all sellers to use the same cash drawer and you have major shortages, you have no way to track the shortage unless each sell has their own drawer.
5. Easy method to fix errors. If a seller was to sell 10.00 worth of tickets but entered 100.00 By mistake, they should have an easy way to fix the error. It’s nice to have a running till tape for the Seller to see on the screen so they know what they entered into the system.
6. Prize Tracking Function. Instead of just entering 2280.00 in prizes it very help full for the manager if they can see exactly what prizes are left by prize amount and quantity.
Example: If a game has 4 prizes at 200.00, 6 prizes at 150.00, 6 prizes at 100.00 and 175 prizes at 1.00 it’s nice to touch a button and see exactly what prizes are left. This makes a major difference when deciding what to do with a game. Some state requires that the top major prizes are paid out before a game can be pulled. This feature gives you the information you need to meet that requirement.
7. Scale. Do you need a scale or not. When you use a POS system you should get the following information on each game.
What you don’t get is how many tickets or actually left in the jar. A few possible reasons for this are. You have the prize tickets that are turned in. So you do have the actual prize count for each game. If a prize was paid out of the wrong game you should have capability to go into the system and correct the prize problem.
The only unknown you will have with a pull-tab POS system is how many tickets are actually left in the jar. A scale will allow you to get a very accurate count of how many tickets are left in each jar. It’s nice if the scale can interface with your POS system so sellers can easily track unsold tickets.
REPORTS:
A. Seller Shift Report. This report should list sales for each game that tickets were sold out of during their session. It should all so list prizes paid out of for each game prizes were paid out. The difference for sales and prizes should be the profit or loss for that game for that session.
B. Cash Register Long/Short Report. This report should list the starting cash bank. All monies at the end of the session should be entered when the session is closed. The report will than show beginning cash, Sales, Prizes paid and cash long or short. This report should be signed and dated the seller.
C. Prize Receipts. The system should allow you to print prize receipts. This may not be a requirement for you now but each state or tribal rules and regulations change so be ready.
D. Closed Game Report. This report should allow you to print the final out come of each closed game. The final manual audit is the actual audit that counts it should be very close to the closed game report.
E. Inventory Report. The inventory report should allow you to view all games still in inventory. This should include games that are currently in play.
